December 2013 Updates

Town Site Plan Application: 
Please be in prayer over these next three weeks as we await a formal response from the Town of Clarington on our site plan amendment application. We would really like the response to be back to us before Christmas which will help our architect move forward with his work.   

Final Drawings:  
After the comments are back to us we can begin to work on final drawings - hopefully to have them completed by late January.  Some updates to the layout are being considered. These proposed changes will be on the agenda for the Project Team meeting on December 11.

Budget Considerations:  
The Project Team, Henry Swinkels (Architect) and our builder, Gay Construction meet December 11 to review the proposed budget.  Our overall goal is $1.6 Million but as with all projects there are items that may end up costing less or more. We are working hard to try to keep within this proposed budget target.

Building Permit Application:
Once the final drawings are done, a building permit application is next.  Our goal is to be ready to build in April of 2014 when the frost is out of the ground. 

Mortgage Arrangements:
Knowing that we have to secure a short term mortgage to finish the expansion it is important to find a lending institution that we can work with and provide this kind of service. Representatives from the the Official Board and the Project Team reps met this past week with a lending group to determine if this might be a possibility.  From the initial meeting it appears to be a good fit.  Details are yet to be worked out of course but the rates being offered are very favourable and the repayment terms quite flexible. We anticipate bringing these details to the Society Meeting in February 2014.  

Journey to the Promise Land Campaign Update:
Thank you to all who have been faithful in fulfilling your pledges so far. Since October 6, $162,672.00 has come in towards Project Caleb for which we are very thankful and offer up praise to the Lord!  We are excited to announce that pledges now exceed $1 Million towards our goal.  If you are interested in joining the Journey and making a donation or a pledge please contact Debi Gunter or Louise Gowdy in the Church Office for a Campaign Brochure.  

Thanks for your support and interest in Project Caleb.  If you have any questions or would like someone to visit with you to explain things in more details, please be in touch.  Pray that the proceedings would go smoothly and be accomplished in a timely fashion.  Already we are seeing God provide great connections for us putting us in touch with the right people at the right time.

Campaign Newsletter - Final Edition October 13, 2013

Here is the last of the Journey to the Promise Land Campaign Newsletters.

The Caleb Report will continue to be produced to provide updates on the building process.

This week a meeting with our architect, Henry Swinkels and builder, Lawson Gay went very well as the details of the proposed plans and budget were reviewed with the Project Team.  We expect to soon submit our application to the Town of Clarington to amend our Site Plan.  Final drawings should be done by the end of January and application for building permits shortly thereafter.  Then we await the spring time when we can begin to build.

Campaign Total Announced

Praise God for His Goodness to Trulls Road Free Methodist Church!

Here is an update on the funds pledged over the last two weeks. Thanks to all who contributed towards Project Caleb.

What an amazing Journey to the Promise Land we have been on!

ADVANCED COMMITMENT AMOUNT ANNOUNCED

Thanks to God for the commitment of our church leaders today, September 29, 2013.

Official Board, Staff, Project Team, Giving Team and the Prayer Team made their commitments on September 26.  

One more week until our Commitment Day for the rest of the congregation.  

Our goal is $1,160,000.00.  

We will be posting an update next week with the final total.

Children's Campaign Event Photos

A special thank you to Jungle Cat World for bringing over some great wild animals for our children to see and experience last week.  Here are a few photos of the animals we saw.  About 40 children attended and at the end they had some wonderful snacks - you guessed it... Wild Animal themed!  We asked the children to go home and pray about helping to build the new rooms on Trulls after talking with their parents...  They have Promise Cards to fill out - if you missed this and would like to participate in the campaign - please call the church office for more information.  Enjoy!

Journey Week Three - Oct 23-29, 2013

Coming Up This Week:

Promise Land Gatherings

Please come along to one of these this week as the last 4 opportunities are being offered Sunday, Monday, Tuesday and Wednesday evenings.  Locations range between Oshawa and Bowmanville.

Thursday Night is the Advance Commitment Event.  For our key church leadership to make their pledges and we will be announcing the result Sunday, Sept. 29.

Friday Night is a special Campaign Event for our Youth - grades 6-12.  Call the church for more info or contact Annette Smith.

Sunday - Week 3 and we have special guests coming to sing - the Trulls Road Tripsters.  Plus the baby dedication of Colton Emond.

Campaign Updates - Week 1

We launched the Journey to the Promise Land Giving Campaign last Sunday with a great day.  Rev. David Hazzard spoke and did wonderful job in highlighting the value of the church from Ephesians.  You can listen to this message by going here:  http://www.trullsroadchurch.com/sermons.php

We had a great lunch of Greg VanStaveren fame - TACOS - so Round Up Sunday had a bit of a mexican flavour this year.

You missed our kick off intergenerational event after lunch where we build our Houses of Faith as we launched this campaign.  Check out some of the cool creations by some very creative teams.... you can click on the photos to enlarge them too.

Journey to the Promise Land Events This Week!

Promise Land Gatherings This Week:
Tuesday, Wednesday and Thursday there are gatherings scheduled - if you want more info please call Debi at the church at 905-436-2300 Ext 1.  If you can't make your event - please plan to join another gathering time.  Debi can help you find another spot - or next week Sept 16 at 7 PM there is one at the church as well as Sept 19 at 2 PM.  These times will gather us together to hear a presentation around the Journey to the Promise Land Campaign.  Be great if we can have everyone attend one of these so we can all be on the same page in our understanding of this time in the life of our church.

Sunday, September 15.  Official Launch of the Journey to the Promise Land Campaign and Annual Round Up.  This Sunday is going to be special!  Our guest speaker is Rev. David Hazzard, who has coached eight other churches through giving campaigns in the last 10 years.  He is passionate about what God is doing through the local church.

Round Up - Stay for Lunch - new menu this year - Tacos!  Then a intergenerational activity as we build faith houses reflecting our vision for Trulls Road.  We supply the construction materials - wood, cardboard, duct tape, paint - what else!  Your team designs and builds a house of faith.  Everyone participates - should be a fun and creative time!

Campaign Packets Out!  This past Sunday we released the packets full of info about the Campaign.  If you are near the church during regular hours this week - please stop in to pick your copy up.  Loaded with details and the Campaign brochure, we hope this provides you with lots of information as you begin to prayerfully consider what your contribution could be.

Children's Event - September 17.  Do plan to have your JK - Grade 5 children at this special campaign event.  More information in the children's invite in your packets.  6:30-8:00 at the church next Tuesday.

Giving Campaign Schedule Announced!

Project Caleb is heading to the Promise Land.  Our capital campaign theme has been announced and a schedule of events introduced.  We invite you to come along on the

Journey to the Promise Land:  HIGHER • DEEPER • WIDER

The first event is Sunday, September 8 as we have an introductory day at Trulls.  Officially we launch on September 15 with guest speaker Rev. David Hazzard helping to kick things off.  This is also our regular round up Sunday - welcoming people back from the summer season.  Hope to see you there.

The Vote Result!

We are thankful to the Lord for a great vote of approval on Project Caleb.  Sunday, June 16 we announced the results of the vote.  Here they are.

Total members voting 122 - Those for: 112 - Those against: - 10.

This means 92 % in favour.

Total adherents voting 35 - Those for: 32 - Those against: 3.

Expressions of support from those not able to attend the two voting occasions:  6
                Those in support 6, those against 0.

Total of individuals expressing themselves in the process: 163 - in favour - 13 against.

Thanks to everyone for your participation.  We are excited about this sense of direction and we will continue on the journey of moving forward.... til next time,  Blessings to you.

Voting Underway - And an Alternative Expression

Yesterday, June 9, we had our first of two voting opportunities for Project Caleb.  The motion that was voted on is listed below for your information.  The Official Board in response to the concern about those who would like to vote but for various reasons cannot, have offered this avenue for expression.

If you are not able to attend the next one on Thursday, June 13 at 7 PM at the church you may express your level of support yourself in the following way. As stated below it cannot be counted as an official vote but it will be used to help the church understand your interest in the project and level of support.  Please use the following format.  This expression must be into the church anytime this week before Thursday at 7 PM.

June 9 & 13, 2013
This form allows you to express your interest and support level for the proposed major expansion at Trulls Road Free Methodist Church if you are not able to attend one of the two Society Meetings on June 9th or 13th.  Since our guiding, governing document does not allow for absentee voting, (reference The Manual of the Free Methodist Church in Canada, Paragraph 315), the Trulls Official Board is upholding this practice and yet has made provision for a general expression of support.  It will be assumed that you are up to date on the scope of the project and have prayerfully considered the motion that is coming before the membership.  These expressions will help in indicating the overall support for or against the project.  Please note, this expression will not be counted as an official vote.  This form may be used by either members or adherents of Trulls.  The results will be noted after the member’s vote is announced.  No names will be publicly released, only a summary of the support for or against the proposed motion.  Please print your name, sign this form and return it to the church by no later than 7 PM on Thursday, June 13, 2013.  These forms will only be viewed by the elected tellers and will be destroyed right after they are counted.  Email versions are acceptable.  Please send your copy to trfmc@rogers.com.  Proposed Project Caleb Motion
by the Official Board of Trulls Road Free Methodist Church
for approval June 9 and 13, 2013.
Preamble: 
The Official Board, affirming the recommendation of the Project Team, hereby invites Trulls Road FMC to expand our current facilities.  The following five parts make up the foundation for the vote of approval on June 9 and 13, 2013.

1.    Part A:  The conceptual drawings and plans proposed to the congregation (as prepared by HS Architect) at the June 2 and 6, 2013 meetings will provide the basis for the following actions: 
a.    Detailed plans to be drawn up which will provide for accurate budgetary figures for all aspects of the project, both construction costs and that which is known as soft costs, (those things outside of the actual building construction costs.)
b.    Applications to be made to the Town of Clarington for both a Site Plan Agreement Amendment and a Building Permit at the appropriate times.
c.     Prepare to proceed with a Capital Giving Campaign in the fall of 2013 .
d.    Selection of a suitable builder.
e.    Construction to start in the Spring of 2014 pending a successful giving campaign and as soon as weather permits.  
2.    Part B:  That the overall budget set for this project is not to exceed $1.6 million dollars.
3.    Part C:  It is understood that TRFMC by virtue of approving this expansion is hereby committed to undertaking a mortgage to help finance the project on an as needed basis depending on the amount raised and the timing thereof.  A Project Caleb Capital Giving Team will give leadership to the details of a Giving Campaign which includes a financing plan to be presented in detail as a part of the Campaign. 
4.    Part D:  We are grateful that nearly $500,000 is being held in our current building fund which will be applied to this project.  Therefore, the total $1.6 M needed is reduced by this amount at the outset making the Giving Campaign Goal approximately $1.1 M.
5.    Part E:  The final step of approval will come after the Giving Campaign which allow the Official Board to propose the full extent of the expansion depending on the amount of financial support received and pledged. 

Motion:  Making every effort to honour God and give Him glory in the process of expanding our facilities, it is moved that TRFMC approve the conceptual plans as presented on June 2 and June 6, 2013 along with a proposed budget figure of ‘not to exceed $1.6 Million’, and to proceed as per the above five part preamble.

Voting Procedure:  As per the Manual of the FMC, absentee voting is not permitted by Society Members.  We therefore encourage as many as possible to attend one of two possible dates to vote.  Either June 9 or June 13 will be duly called Society Meetings in order to allow for the maximum number of people to vote. Attendance will be taken at both meetings to ensure one vote per member.  The total vote cast will be announced on June 16 during the morning service and published on our Project Caleb blog. 
Required Support:  The Official Board has set the level of support for Project Caleb at 2/3rds (two thirds) of the members voting.  However, it is anticipated that there will be a significantly higher level of support demonstrated.
Free Methodist Church in Canada Approval:   All building projects must also receive the approval of the Board of Administration of the FMC in Canada.  A formal application will be made pending the results of the Society Meeting vote by the Official Board.

We appreciate your attendance for this important decision in the life of Trulls.  Please continue in prayer.

New Design Revealed - June 2, 2013

Here are the floor plans for the new design that we proposed today at our Information Session with the Architect, Mr. Henry Swinkels.  The first two are the main level and then the lower level.  The third drawing is the Site Plan.   The fourth is the view from inside the sanctuary.  The video gives you a conceptual look of the outside view of the addition and its features.

Votes will take place on June 9 and 13.  If you are a member and can make one of these meetings - by all means do plan to attend.  If you are an adherent to Trulls we would value your input as well.  You can express your perspective at either one of the called meetings to vote.  Members will determine the voting results - adherents perspectives will be summarized by way of information only.

On June 16 the results of the two votes will be announced.

June 2 - Come Meet the Architect and See the New Design

Greetings Friends,

The Caleb Project Team is very excited to invite you to attend an information meeting on Sunday June 2 after the morning service to see and hear more about the proposed expansion plans.  As you may know we have a new architect on the project whose name is Henry Swinkels.  On June 2, he is going to bring us drawings, a computerized look of the new plan and a proposed budget.  Under Henry's creative guidance, we have incorporated many of the thoughts and ideas generated from the many focus group and project team meetings over this past year.  Lots of things are now addressed in a way that we think will raise the level of appreciation for the potential for us to expand.  Do plan to be there if at all possible on June 2.  If by chance you can't be there then we will present the same information on Thursday evening at 7 PM June 6 although Henry Swinkels will not be present on June 6.  This gives an opportunity for as many as possible to see the proposed plans before our vote of approval on June 9.

Yes that is what the Official Board will be asking of the membership on Sunday, June 9 - do we want to proceed to the next step?  More details will be forthcoming and we hope you can make the June 9 meeting for sure.  If you can't there will also be another opportunity to vote on Thursday, June 13 at 7 PM at the Church.  Both June 9 and June 13 have been announced as specially called Society Meetings for all members to attend (one or the other, that is).  Of course, everyone is welcome to attend these meetings as well - member or not.
